The projector is the part of the slide chain churches argue about and the part that fails least often. What actually goes wrong on a Sunday is the computer, the number of outputs it has, the cable between the booth and the ceiling, and the fact that the machine running lyrics is also the machine somebody used to check email on Thursday. The presentation software choices that churches actually use
These are the packages in common use in United States churches. Pricing and licensing models change often enough that quoting figures here would mislead you, so check the current terms with each publisher. What does not change is what each one is good at and where each one hurts.
Every option here drives at least two outputs, which is the single hard requirement: one screen for the operator and one for the congregation, plus a third for a stage display.

The computer, specified against what it has to do
The requirement is not exotic, but it is specific. Two video outputs at minimum, three if the platform gets a confidence monitor, and they must be real outputs rather than one output split, because a splitter shows the operator exactly what the congregation sees, which defeats the purpose. That is why a discrete graphics card matters more than processor speed on a presentation machine.
Sixteen gigabytes of memory, a solid state drive and a discrete graphics card with the output count you need is a sound specification, and video heavy services want more of all three. What matters far more than any of it is that the machine is dedicated. No email, no browsing, no automatic updates arriving during the sermon, no screen saver, no power management sleeping a display mid-service. Disable sleep, disable notifications, and set updates to manual. Most Sunday presentation failures are operating system behaviour, not hardware limits.
Give the machine a real position in the booth with its own power and a labelled cable run, and add it to the load sheet for the rack rather than plugging it into whatever outlet is nearest. Cable: the part that is expensive to fix later
The distance between the booth and the projector is usually the longest signal run in the building, and passive HDMI does not cover it. Choose the method before the walls close.
Passive HDMI is reliable only to about 25 feet at 1080p, so almost every booth to ceiling run in a sanctuary needs an active optical cable or an HDBaseT extender over Cat6.

Distances are practical working figures for 1080p. Higher resolutions and higher frame rates reduce every one of them, which is one more reason a church does not benefit from driving 4K to the sanctuary screen.
Build the slide chain
- Dedicate a machine and lock it down. One computer, used for presentation and nothing else. Disable sleep, screen savers, notifications and automatic updates, and create a single user account the volunteers log into. This one step prevents more Sunday failures than any hardware decision on this page.
- Confirm the output count before buying anything. Two outputs minimum, three with a stage display, and they must be independent outputs rather than a split of one. Check the graphics card specification rather than counting the ports on the case, because some machines cannot drive every port simultaneously.
- Choose the cable method for the actual measured distance. Measure the real cable route, not the straight line distance, and add slack at both ends. Past about 25 feet, choose an active optical HDMI cable or an HDBaseT extender over shielded Cat6. Pull a spare cable in the same run while the ceiling is open; the second one costs almost nothing now and a great deal later.
- Set the resolution to match the projector natively. Set the output resolution to the projector’s native resolution so it is not scaling. A 1920 by 1080 projector fed 1920 by 1080 is sharp, and the same projector fed an odd resolution is soft in a way no focus adjustment will fix.
- Add a stage display for the platform. A confidence monitor showing lyrics, the clock and notes stops the worship leader and preacher turning to read the congregation’s screen. It is the third output, and it is the change platform teams notice most. Feed it the stage display view, not a mirror of the main output.
- Send a slide feed to the livestream switcher. A switcher such as Blackmagic Design ATEM Mini Pro HDMI Live Stream Switcher takes the slide output as an HDMI input, so lyrics can be cut into the stream or keyed over the camera. Plan this output now even if the stream comes later, because it is another output to account for on the graphics card.
- Build the service file earlier in the week and rehearse it. Songs, scripture, announcements and video in order, built before the weekend and opened at rehearsal so the media actually plays. Most visible slide errors are preparation failures rather than software failures.
- Write the runbook and train a second operator. Power-on order, which application, where the service file lives, what to do when the screen goes black. Two pages, laminated, in the booth. Then train a second person, because the operator who knows everything is also the operator who is away at some point.
Slide design, which is where most of the readability is won
The four, six and eight times rule assumes text sized for the purpose. Lyrics and sermon points sit in the six times category, meaning the furthest viewer is at six times the screen height, and that only holds if the text fills a reasonable share of the image. Small text on a large screen simply moves you into the four times category, and now your back row cannot read it.
Practical rules that survive contact with volunteers: high contrast, light text on a dark background rather than the reverse, a heavy sans serif face, no more than four lines of lyric on a slide, and no busy photograph behind words. If a background image is used, put a solid or heavily darkened band behind the text. Thin decorative fonts are the most common readability failure in church projection, and they are the first thing to look worse after keystone correction.
Check every design from the actual back row, at actual service lighting, with the actual projector. A slide that reads beautifully on a laptop in a lit office can be unreadable at 40 feet in a room with the house lights up, and the only way to know is to walk back there and look.
Licensing, which is not optional and is easy to get wrong
Two different licences are in play and churches routinely confuse them. A copyright licence covers reproducing song lyrics on a screen for the congregation in the building. A separate streaming licence covers transmitting that music online. Holding the first does not grant the second, and streaming platforms detect music automatically, so the failure mode is a muted or removed service video rather than a polite letter.
Sort both before the first stream rather than after the first claim, and keep the reporting current, since most licences require you to log what was used. The last piece is people. Presentation is the volunteer role with the highest turnover in most churches, because it looks easy until the service file will not open. Write the runbook, train in pairs, and treat it as a real position on the rota. Is free church presentation software good enough?

Why do our slides look soft even though the projector is 1080p?
Usually the output resolution does not match the projector natively, so the projector is scaling, or keystone correction is squaring the image by discarding pixels. Set the computer to the projector’s native resolution, mount the projector square to the screen and use lens shift rather than keystone. Thin decorative fonts make both problems far more visible than a heavy sans serif would.
Do we need a licence to show song lyrics on screen?
Yes, and you need a second, different licence to stream that music online. A copyright licence covering reproduction of lyrics for the congregation in the building does not cover transmission over the internet. Streaming platforms detect music automatically, so an unlicensed service video is likely to be muted or removed. Arrange both licences before the first stream and keep the usage reporting current.
